Your Washington CMRA

We’re a Washington Commercial Mail Receiving Agency (CMRA)

One of the biggest benefits of our Evergreen Mail Scanning and Virtual Office services is that we’re a USPS-approved Commercial Mail Receiving Agency (also called a CMRA). As a registered CMRA, we’re able to act as a third party that accepts, processes, and forwards our client’s mail.

Hiring a CMRA like us adds a layer of protection over your personal privacy. When you hire us, you get a unique address for your business, keeping your personal information from the public. You can also count on same-day mail scans and instant notifications when your documents are available to view in your secure, online account.

We process your mail right here in our building in downtown Spokane, Washington.

What is Commercial Mail Receiving Agency?

Private businesses that want to accept and process mail for their clients must register with the United States Postal Service (USPS) as a Commercial Mail Receiving Agency (also known as a CMRA). Once approved, the USPS will deliver client mail to the CMRA, who is then responsible for processing and forwarding that mail to the correct recipient.

Hiring a CMRA is a good way to add a layer of protection over your personal privacy. Not only do we provide our clients with a unique business address that they can use, keeping their home address and other personal information off public record, but we also keep your information to ourselves. You can trust that we will never sell your data. Ever.

How do I hire a CMRA?

In order for a CMRA to legally process your mail, you are required to authorize the CMRA of your choice with the USPS. You will do this by completing a Form 1583 and submitting it to the USPS. This form has two purposes. The first is to give the CMRA the authority to process your mail. The second is to verify your identity and confirm that it’s actually you authorizing the CMRA to accept your mail.

While another filing might seem tedious, it’s an important, added layer of security. Requiring both CMRA and their clients to verify their identity allows the USPS to ensure the security of the postal service and prevent mail fraud.

Form 1583 requires some of your personal information, as well as identification documents, to confirm your identity. However, this information is kept confidential by the USPS and will not be available to the public.

USPS Form 1583

In order to verify your identity, the USPS requires the following information on your Form 1583:

  • Name
  • Residential Street Address
  • Accepted Photo ID (see below)
  • Accepted Proof of Address

Accepted Forms of I.D. for Form 1583

On top of the personal information listed above, the USPS also requires that you provide photo identification and proof of address with your Form 1583. Unfortunately, not all forms of I.D. are accepted. You will need to include one form of photo I.D. and one proof of address.

Washington CMRA FAQ

Do I need to get Form 1583 notarized?

The USPS does require your Form 1583 be notarized, but as your CMRA we’re able to complete this step of the verification process in-house with an internal witness. All you need to do is provide the information needed on the form and the required identification documents inside your client account and we take care of the rest.

If I’m submitting a Form 1583 for my business do I have to use my own I.D.?

Not necessarily. The USPS requires an officer or member of your business to provide their signature and the correct forms of I.D. So, if it isn’t you, it will need to be someone with those qualifications from your business.

Don’t worry about the information on your Form 1583 being made available to the public. This information will be kept confidential by the USPS. If you hire us as your CMRA, you can count on us keeping that information private, too. We’ll never sell your data to anyone for any reason.

Can a Non-U.S. resident hire a CMRA?

Yes. A non-U.S. resident can hire a CMRA. Plus, non-U.S. residential addresses are accepted on Form 1583. You’ll just need to be able to provide the proper identification and a signature for your form.
